Getting Started
LADEKA is an all-in-one school management platform built for Ghana and Africa. Whether you're a school owner, headmaster, teacher, parent, or student — this guide walks you through every feature.
What You Can Do With LADEKA
How Roles Work
Every user gets a tailored dashboard based on their role. Here's what each role sees:
- School Owner: Full control — all modules, staff, finances, reports, school-wide settings
- Headmaster: Academic operations — students, teachers, attendance, reports, payroll approval
- Teacher: Classroom tools — attendance, grades, assignments, live classes, parent messaging
- Cashier: Finance — fee collection, payment tracking, payroll processing
- Parent: Child info — grades, fees, attendance, bus tracking, pickup alerts
- Student: Academics — timetable, assignments, grades, learning materials
- Nurse: Health records — medical history, incidents, health reports
- Librarian: Library — book catalog, borrowing/returns, overdue tracking
- House Master: Boarding — house assignments, discipline, student welfare
- Driver: Transport — trip start/end, GPS streaming, pickup verification

Account Setup
Creating Your School Account
Step 2: Fill in your name, email, and password
Step 3: Enter your school name (optional — you can add it later)
Step 4: If you have a referral code, enter it in the optional field to get GH₵50 off your first payment
Step 5: Click Create Account
Step 6: Check your email inbox (and spam folder) for the verification link
Step 7: Click the verification link to activate your account
Step 8: Log in and complete your school profile
Completing KYC Verification
After registration, you'll be asked to complete KYC (Know Your Customer) verification. This is required before you can access all features.
Step 2: Upload your school's registration certificate
Step 3: Upload a valid ID (passport, voter's card, or national ID)
Step 4: Submit for review — approval typically takes 24-48 hours
Step 5: You'll receive an email once approved
Choosing Your Subscription Plan
- Free Trial: 30 days free, up to 100 students, 5 staff — no credit card required
- Starter (GHS 450/mo): 20–150 students — student management, attendance, communication, basic reporting
- Pro (GHS 1,200/mo): 151–500 students — includes bus tracking, payroll, ID cards, offline mode
- Growth (GHS 2,500/mo): 501–1,200 students — full feature set, live classes, inter-school transfers
- Enterprise (GHS 5,000/mo): 1,200+ students — unlimited everything, priority support, dedicated account manager
Class Management
Before adding students, you need to set up your classes. Class Management lets you create grade levels, assign class teachers, and organize your school structure.
Creating a New Class
Step 2: Navigate to Class Management in the sidebar
Step 3: Click Create Class
Step 4: Enter the class name (e.g., "JHS 1", "Primary 3", "Nursery 2")
Step 5: Select the grade level (Nursery, KG, Primary, JHS, SHS)
Step 6: Optionally assign a class teacher
Step 7: Set the capacity (max students per class)
Step 8: Click Save
Organizing Your School Structure
LADEKA supports flexible class structures:
- Grade Levels: Nursery, KG, Primary 1–6, JHS 1–3, SHS 1–3
- Custom Classes: Create any class name your school uses
- Streams: Split a grade into streams (e.g., "JHS 1A", "JHS 1B")
- Class Teachers: Assign one teacher per class for attendance and parent communication
Class Actions
- Edit: Change class name, teacher, or capacity
- View Students: See all students assigned to the class
- Generate Reports: Create class-wide academic reports
- Attendance: Mark attendance for the entire class
Managing Students
Adding a New Student
Step 2: Navigate to Students in the sidebar
Step 3: Click Add Student
Step 4: Fill in the required fields:
- Full name (first name, middle name, last name)
- Date of birth
- Gender
- Class (select from dropdown — classes must be created first)
- Guardian name and phone number
- Guardian email (optional)
- Home address
Step 6: Add additional info: medical conditions, allergies, emergency contact
Step 7: Click Save
Student Profile
Each student gets a complete profile with:
- Personal Info: Name, DOB, gender, photo, contact details
- Academic Info: Class, enrollment date, student ID number
- Guardian Info: Parent/guardian names, phones, emails, addresses
- Medical Info: Blood group, conditions, allergies, medications
- Financial Info: Fee balance, payment history, receipts
- Attendance: Daily attendance record, absence notifications
- Reports: Academic report cards, grades history
- ID Card: Generated ID card with photo and QR code
Bulk Student Import
Import multiple students at once using a CSV file:
Step 2: Click Download Template to get the CSV template
Step 3: Open the template in Excel or Google Sheets
Step 4: Fill in student data following the column headers exactly
Step 5: Save as CSV (comma-separated values)
Step 6: Upload the CSV file
Step 7: Review the import preview — check for errors
Step 8: Click Confirm Import
Student Statuses
- Active: Currently enrolled and attending classes
- Inactive: Temporarily not attending (e.g., medical leave)
- Graduated: Completed their program at the school
- Transferred: Moved to another school (records can be transferred)
- Suspended: Disciplinary suspension — student cannot attend classes
Attendance Tracking
Track student attendance daily, generate attendance reports, and identify students with chronic absences.
Marking Attendance
Step 2: Navigate to Attendance in the sidebar
Step 3: Select the class and date
Step 4: The class roster loads with all students
Step 5: Toggle each student's status: Present (green), Absent (red), Late (yellow), Excused (blue)
Step 6: Click Mark All Present to mark everyone present, then adjust exceptions
Step 7: Click Submit Attendance
Attendance Features
- Daily Tracking: Mark attendance for each class period
- Quick Mark: "Mark All Present" button for fast marking
- Offline Support: Mark attendance without internet — it syncs when you're back online
- Parent Notifications: Parents receive alerts when their child is marked absent
- Reports: Generate attendance reports by date range, class, or individual student
- Attendance Rate: See each student's attendance percentage on their profile
Viewing Attendance Reports
Step 2: Select the date range (daily, weekly, monthly, term)
Step 3: Filter by class or individual student

Step 5: Export as PDF or CSV if needed
Announcements & Communication
Send school-wide announcements, class-specific messages, and targeted notifications to parents and staff.
Types of Announcements
- School-wide: Sent to all parents, students, and staff (e.g., holiday notices, event announcements)
- Class-specific: Sent to parents of students in a particular class (e.g., class meeting reminders)
- Individual: Direct message to a specific parent or staff member
- Emergency: High-priority alerts that override notification settings
Creating an Announcement
Step 2: Navigate to Announcements in the sidebar
Step 3: Click New Announcement
Step 4: Enter the title and message body
Step 5: Select recipients (all, specific classes, specific parents)
Step 6: Choose notification method: in-app, email, SMS, or all
Step 7: Set priority level (normal, high, urgent)
Step 8: Click Send
Parent Portal Messaging
Parents can also initiate conversations with teachers through their portal:
- Inbox: View all messages and announcements in one place
- Reply: Respond to teacher or school messages directly
- Notifications: Push notifications for new messages
- Message History: Full conversation thread preserved
Fees & Payments
Setting Up Fee Structures
Step 2: Click Create Fee Structure
Step 3: Enter the name (e.g., "Term 1 2026 Fees")
Step 4: Select the academic term (Term 1, Term 2, Term 3)
Step 5: Assign to classes (select all classes that apply)
Step 6: Add fee items:
- Tuition — required for all students
- Library Fee — optional
- Transport Fee — for bus users only
- Feeding Fee — optional
- Uniform Fee — optional
- Examination Fee — optional
Step 8: Configure late payment penalties (optional)
Step 9: Save and apply to students
Generating Invoices
Step 2: Select the fee structure
Step 3: Choose which students to invoice (all, specific classes, or individual)
Step 4: Review the invoice amounts
Step 5: Click Generate Invoices
Step 6: Invoices are sent to parents via email and appear in their portal
Recording Payments
Step 2: Click Record Payment
Step 3: Search for the student by name or ID
Step 4: Select the invoice to pay
Step 5: Enter the amount and payment method
Step 6: Add a reference number (for bank/mobile money transfers)
Step 7: Upload payment receipt (optional)
Step 8: Click Confirm Payment
Step 9: A receipt is automatically generated and sent to the parent

Live Bus Tracking
Real-time GPS tracking of school buses with parent notifications. No expensive hardware needed — just the driver's smartphone.
Initial Setup
Step 2: Register your school buses with plate numbers and capacity
Step 3: Go to Transport → Bus Stops
Step 4: Create bus stops by clicking on the map to plot their locations
Step 5: Go to Transport → Routes
Step 6: Create routes by connecting stops in order
Step 7: Go to Transport → Drivers
Step 8: Add drivers with their phone numbers (they'll receive login credentials)
Step 9: Assign drivers to buses
Step 10: Assign students to their nearest bus stops
How Daily Tracking Works
- Driver starts trip: Opens the LADEKA app, taps "Start Trip"
- GPS streams: The driver's phone sends GPS coordinates to the server every 10 seconds
- Map updates: Parents and headmaster see the bus moving on a live map
- SMS alerts: Parents receive SMS ~5 minutes before the bus reaches their stop
- Drop-off confirmation: Driver marks students as dropped off, parents get notified
- Trip ends: Driver taps "End Trip" — all data is saved
Driver App Features
- Start/End Trip: One-tap trip management
- Pickup Verification: Scan student QR codes or verify by photo
- Route Navigation: Follow the assigned route with turn-by-turn guidance
- Offline Mode: Continue tracking even in areas with poor connectivity
- Incident Reports: Report accidents, breakdowns, or delays
Parent View
- Live Map: See the bus moving in real-time on their phone

Payroll Management
Setting Up Salary Structures
Step 2: Click Create Salary Structure
Step 3: Enter the structure name (e.g., "Teacher Salary Scale")
Step 4: Assign to a role (teacher, cashier, nurse, etc.)
Step 5: Set the basic salary amount
Step 6: Add allowances (housing, transport, feeding, responsibility)
Step 7: Add deductions (SSNIT employee contribution, loan repayments)
Step 8: Save — this applies to all staff with that role
Ghana Tax Configuration
LADEKA automatically calculates Ghana's tax and social security contributions:
- SSNIT (Social Security):
- Employee contribution: 5.5% of basic salary
- Employer contribution: 13% of basic salary
- PAYE (Pay As You Earn) Income Tax Brackets:
- First GHS 4,330: 0%
- GHS 4,331 – 5,730: 5%
- GHS 5,731 – 7,630: 10%
- GHS 7,631 – 11,430: 17.5%
- Above GHS 11,430: 25%
Processing Monthly Payroll
Step 2: Click Generate Payroll
Step 3: Select the month and year
Step 4: The system auto-calculates: basic salary + allowances – deductions – SSNIT – PAYE = net pay
Step 5: Review each employee's pay slip
Step 6: Click Submit for Review
Step 7: Cashier reviews and verifies calculations
Step 8: Headmaster approves the payroll
Step 9: Cashier marks as Paid
Step 10: Pay slips are generated and available for download
Payroll Approval Workflow
Employee Bank Accounts
Staff members can add their bank details for payroll disbursement:
Step 2: Go to Finance → My Bank Account
Step 3: Enter bank name, account number, and account name
Step 4: For mobile money: select provider (MTN, AirtelTigo) and enter number
Step 5: Save — the cashier will use this for disbursement
ID Card Generation
Available Card Templates
- Ghana: Classic green-gold design with national colors
- Navy & Gold: Professional navy blue with gold accents
- Premium Navy: Elegant dark navy with holographic effect
- Blue & Purple: Modern gradient design

Card Elements
Each ID card includes:
- Student/staff photo (high resolution)
- Full name and ID number
- Class/department and section
- QR code for digital verification

Generating ID Cards
Step 2: Go to IT Department → ID Cards
Step 3: Select the type: Student or Staff
Step 4: Choose which individuals to generate cards for (single, class, or all)
Step 5: Select a card template from the 5 available designs
Step 6: Preview the cards — check photos and details
Step 7: Click Generate
Step 8: Print directly or download as PDF
Step 9: Mark as "Printed" to track which cards have been produced

Report Card Generation
Step 2: Go to Academics → Report Cards
Step 3: Select the class and academic term
Step 4: Enter or import assessment scores (continuous assessment + exams)

Adding a New Staff Member
Step 2: Navigate to Staff Management in the sidebar
Step 3: Click Add Staff
Step 4: Fill in: full name, email, phone, gender, date of birth
Step 5: Select the role (teacher, cashier, nurse, librarian, driver, house master, IT)
Step 6: Assign to a department (if applicable)
Step 7: Set employment date and contract type

Recording Medical Incidents
Step 2: Go to Health → Incidents
Step 3: Click New Incident
Step 4: Select the student
Step 5: Record: date, time, type (injury, illness, allergic reaction), description
Step 6: Record treatment given
Step 7: Set follow-up actions (rest, medication, parent notification, hospital referral)
Step 8: Save — parents are automatically notified
Health Reports
- Incident Summary: All medical incidents by date, type, and severity
- Medication Tracking: Students requiring daily medication

Live Video Classes
Conduct live classes when needed — for remote learning, sick days, or supplementary sessions.
Starting a Live Class
Step 2: Go to Live Classes in the sidebar
Step 3: Click Start New Class

Offline Mode
LADEKA is built for schools in areas with unreliable internet. Teachers and staff can keep working offline, and the system syncs automatically when connected.
How It Works
- Cached Pages: Previously visited pages load instantly from cache when offline
- Form Submissions: Forms submitted while offline are saved locally in IndexedDB
- Auto-Sync: When internet returns, queued data syncs automatically in the background
- Offline Banner: A banner appears when you're offline showing the queued item count
- PWA Installation: Install LADEKA on your phone like a native app — no app store needed

School Profile
Step 2: Go to Settings → School Profile
Step 3: Update: school name, address, phone, email, website
Step 4: Upload school logo (appears on reports, invoices, and ID cards)
Step 5: Set academic year dates and term schedules
Step 6: Save changes
Payment Gateway Setup
Step 2: Select which gateways to enable (Paystack, Flutterwave, MTN MoMo, etc.)
Step 3: Enter your API keys for each gateway (get these from the provider)
Step 4: Test the connection
Step 5: Save — parents can now pay online
SMS Configuration
Step 2: Select your SMS provider (Africa's Talking, Twilio, etc.)
Step 3: Enter API credentials
Step 4: Set sender ID
Step 5: Test with a sample message

Troubleshooting
Common Issues & Solutions
- Check that your email is verified — check inbox and spam folder
- Reset your password via the "Forgot Password" link on the login page
- Clear your browser cache and cookies
- Try a different browser (Chrome, Firefox, Edge)
- Make sure Caps Lock is off when typing your password
- If using a shared computer, make sure you're logging in with the correct email
- Hard-refresh the page: Ctrl+Shift+R (Windows) or Cmd+Shift+R (Mac)
- Clear your Service Worker: DevTools (F12) → Application → Service Workers → Unregister
- Log out and log back in
- Try opening in an incognito/private window
- Contact support if the issue persists — include the URL and any error messages
- Wait 5-10 minutes — payment gateways sometimes take time to confirm
- Check that the payment was successful on your bank or mobile money app
- Contact support with your payment reference number and screenshot
- For mobile money: check your MoMo transaction history for the reference ID
- Ensure the driver has started the trip in the app
- Check that the driver's phone has GPS enabled
- Verify the driver has a stable internet connection
- Make sure location permissions are granted to the LADEKA app
- Try refreshing the tracking page
- Check the offline banner — it shows the number of pending items
- Ensure you have a stable internet connection
- Refresh the page to trigger a sync attempt
- Don't clear browser cache while items are pending
- If sync fails repeatedly, contact support — data is preserved locally
- Ensure all selected students have profile photos uploaded
- Check that the school logo is uploaded in Settings → School Profile
- Try generating one card first to test
- Clear browser cache and try again
- Use Chrome or Edge for best PDF generation support
- Verify the parent's email address is correct in their profile
- Check that the parent has verified their email
- For SMS: ensure the SMS gateway is configured and has credit
- Ask parents to check their spam/junk folder
- Have parents enable browser notifications for the LADEKA portal
